The Monthly Plan is designed for growing businesses that need more flexibility. With this plan, you benefit from unlimited invoices and clients, as well as advanced features like data export and automatic payment reconciliation.

The Annual Plan offers the best value for established businesses, with a 16% discount (equivalent to 2 months free) compared to the monthly plan. It includes all premium features and priority support.

How does QR billing work?

When you generate an invoice in BePaid, the system intelligently compiles all essential data – your IBAN, the exact amount, the payment reference, and the coordinates of both the beneficiary and the payer – then encodes them into a unique QR pattern printed on your invoice.

What makes this process particularly effective is how it facilitates the payment experience. Your customers can simply scan this code with their banking application or mobile device, which automatically pre-fills all fields necessary for their transfer, thus eliminating manual entry errors and significantly accelerating payment processing. For you, this translates into reduced payment delays and better cash flow management.

What information do I need to set up my company correctly for legal invoicing in Switzerland?

If your business is subject to VAT (currently required when annual turnover exceeds CHF 100,000), you must also include your unique VAT identification number, which typically follows the format CHE-XXX.XXX.XXX VAT. This information is essential for tax authorities and allows your business customers to reclaim VAT.

Can I cancel at any time?

Yes, you can cancel your BePaid subscription at any time without any additional fees. This flexibility allows you to manage your commitment according to your evolving needs.

Your subscription will remain active until the end of the already paid period, whether monthly or annual. You will therefore continue to benefit from all premium features until the expiration of your current subscription.

Please note that it is not possible to obtain a refund for the unused subscription period after cancellation. The amount already paid covers the period until the initial expiration date of your contract.

How can I reconcile payments with my invoices?

For associating a received payment with a specific invoice in BePaid, you currently have the manual recording option. For each payment received, you can go to the corresponding invoice page and click on "Record a payment." This method allows you to indicate the exact amount, the date of receipt, and optionally add an explanatory note for your internal tracking.

The good news is that we are actively working on an automatic import feature that will significantly simplify this process. Very soon, you will be able to directly import external files from your bank or accounting software. Supported formats will include standardized banking formats CAMT.053 and CAMT.054, as well as more common formats like CSV and XLS.

Once this feature is available, the system will automatically analyze payment references and reconcile received amounts with corresponding invoices, saving you valuable time and reducing the risk of manual errors.

Can I handle multi-currency invoicing for international clients?

Yes, BePaid currently allows you to invoice your clients in three major currencies: Swiss franc (CHF), euro (EUR), and US dollar (USD). This flexibility is particularly advantageous if you work with clients based internationally or in countries bordering Switzerland.

For each client you create in the system, you can set a default currency that will automatically be applied to all new invoices you generate for that client. You can also modify the currency when creating a specific invoice if needed.

The system clearly displays the currency on each invoice and properly handles currency symbols, number formats, and separators according to international conventions, ensuring a professional document regardless of the currency used.

Is it mandatory to send a QR-bill?

No, sending a QR-bill is not mandatory for all business transactions in Switzerland. The QR-bill has effectively replaced the former payment slip with reference number (BVR) for those who used reference numbers in their invoicing system, but its use remains at the discretion of the invoice issuer.

From a practical standpoint, the QR-bill offers considerable advantages for both you and your customers. It greatly facilitates the payment process by enabling automatic pre-filling of all necessary details in the e-banking solutions used by the payer. This includes bank details, amount, reference, and beneficiary information, which reduces data entry errors and accelerates payment processing.
